Video recording and streaming

Hi, I've managed a fair deal about video (and audio) streaming and recording. Here's the deal: - we will have 4 cameras available from AVC*, for free - one technician from AVC will supervisor *us* recording the talks and workshops (for 150 CZK per hour, i.e. ~ 370 USD total) - we will provide volunteers that would control the cameras during the talks (aim it at the speaker) - we need to provide one PC with at least i5 CPU and one USB3 port (laptop is fine), they need to install their OS to do some magic - I guess Red Hat Brno might provide this? - the video will be instantly available on youtube - if we don't want to volunteer, we can pay for 4 cameramen and do nothing (~ 1480 USD), but I think that's not necessary. A guide in guidebook.com

Hi, I've started building a guide in guidebook.com. Their paid plans are pretty expensive, but the free plan allows 200 downloads and I don't think we will exceed this number given the number of registered attendees. It looks pretty neat so far. It for example allows to import a schedule from sched.org which saves a lot of work. And all data is stored off-line which is useful for people who are abroad. Jiri

Visa problems

Hi, all. It's too late to solve this for this year, but I'm hoping to crowdsource some answers for next year. We have booked flights for people based on the itineraries they requested, in some cases on the assumption that they knew better than we did how best to get to Prague from their own countries and deal with getting visas. Because some countries require you to (or at least strongly suggest that you do) have a flight before you request a visa, we are now quite over budget for travel due to denied and delayed visas requiring us to rebook flights on different itineraries. It's not only India, although because we have many contributors who want to attend Flock from India, it's the primary problem country in this situation. As those of us doing the flight bookings are American and rarely need visas where we travel, this is unfamiliar territory. Can those of you who deal with visa problems make any suggestions about how to avoid this next year? Or is it simply unavoidable, and we need to budget in the equivalent of several extra people's flights for these rebookings? Thanks! Ruth
